How do I create an account?

Enter your email address and we send a six-digit code. Type the code in, then choose a password, and the account exists from that moment. There is no card to enter. If someone invited you to their workspace, the invitation link takes you through the same steps and lands you in their workspace.

What should I do first?

Accepted Answer

Add a customer, save an item or service, create and send an invoice, then record the first payment. Until the workspace has billed something, the dashboard shows those four steps and which of them are done; after that it becomes your cash view.

Question 3

Does MetroPay cost anything?

Accepted Answer

Not to start. Every workspace begins on the Free plan with no card on file, and nobody is charged without choosing a plan. The pricing page shows the paid plans, Unlimited and a lifetime seat, and their current prices.

Question 4

Which currencies can I bill in?

Accepted Answer

Eleven: USD, EUR, GBP, AUD, CAD, DKK, SEK, CHF, JPY, NZD and BDT. Each customer has a currency, and money and dates are formatted in one of fourteen locales. The interface itself is in English.

Question 5

What do the invoice statuses mean?

Draft is not yet sent. Sent is with the customer. Partially paid and paid follow the money recorded against it. Void cancels an invoice that should not have been issued, and written off closes one that will not be paid. Overdue is not a status of its own: it is a flag on any unpaid invoice past its due date.

Can I change an invoice after sending it?

A draft can be edited or deleted freely. Once sent, an invoice is not edited in place: void it, or duplicate it and send the corrected copy. An unpaid invoice that will never be paid is written off. Each of these actions is recorded, so the history stays honest.

How do I change how my invoices look?

Accepted Answer

Settings, Brand assets holds your logo, an optional letterhead wordmark that replaces your business name on documents, and your document colours. Settings, PDF templates picks one of seven layouts: Classic, Modern, Minimal, Statement, Ledger, Split and Contemporary. Numbering, tax rates and custom fields each have a settings page of their own.

Where are estimates?

Estimates are an optional module. An owner or admin switches it on in Settings, Modules, and an Estimates section appears in the sidebar. Customers accept or decline from a link, an accepted estimate converts to a draft invoice, and the document can be labelled Estimate, Quote or Proposal for your workspace.

How do customers pay online?

Connect your own Stripe or SSLCommerz account in Settings, Payment gateways. Every invoice then carries a payment page where the customer pays by card, or by bKash, Nagad and mobile banking through SSLCommerz. The money settles in your own provider account; MetroPay never holds it.

Can customers pay by bank transfer?

Accepted Answer

Yes. Add your bank details in Settings and they appear on the invoice page for customers who pay manually. A customer can also tell you they have sent a payment, with the date, a reference and an optional receipt; you confirm it, and it is recorded. While that report is waiting on you, reminders for the invoice are held.

Can a customer pay part of an invoice?

If you allow it on that invoice. The smallest part they can pay online is a percentage of what remains, set for the workspace in Settings, Payment gateways, and ten percent unless you change it. Paying the exact remaining balance is always allowed.

What happens if a customer overpays?

Accepted Answer

The extra becomes a credit on that customer. You apply it to any open invoice of theirs later, and their statement shows it as unapplied until you do. Recorded payments are never edited or deleted, so what was received stays on record exactly as it arrived.

Are reminders sent automatically?

Accepted Answer

Only after an owner turns them on. Reminders are off in every new workspace. In Settings, Reminders you switch on the master setting and then each rule individually: before the due date, on it, or a number of days after. Reminders go out in the morning in your workspace timezone, never for a draft, paid, void or written-off invoice, and never twice for the same rule.

Can I stop reminders for one customer?

Yes. Each customer has a reminder opt-out. Every reminder email also carries an unsubscribe link, and an address that uses it goes on the suppression list in Settings, Email, where you can add or remove addresses by hand as well.

Question 15

How do recurring invoices work?

Accepted Answer

Create a profile with the line items, a frequency such as every month or every two weeks, a start date, and an optional end date or number of occurrences. Each period arrives as a draft for you to review and send. Automatic sending is off until you switch it on in Settings, Recurring, and a profile can be paused at any time.

How do I know an email was delivered?

Settings, Email log lists every message the workspace has sent, with whether it was queued, sent, delivered or bounced, and when it was opened. Records are kept for 24 months and then deleted with their attachments.

What can each role do?

Accepted Answer

Owner and Admin can do everything, including settings and invitations. Accountant can record payments, apply credit, void and write off, but cannot change settings. Staff can create, edit and send invoices, customers and items, but cannot record payments, apply credit, delete, void, write off or change settings.

Question 18

How do I invite someone?

Accepted Answer

In Settings, Users and roles, enter their email address and choose a role. They get an invitation email, and there is also a link you can share with them directly. Invitations can be resent or revoked. The person signs up or signs in from the invitation and lands in your workspace.

Question 19

Where is my data stored, and who else sees it?

Accepted Answer

On DigitalOcean servers in Bangalore, India. Email is delivered by Postmark, and card payments run through Stripe or SSLCommerz under your own account. The sub-processors page names each provider and what it sees. No advertising network or third-party analytics script runs on MetroPay pages.

Question 20

Can I export or delete my data?

Accepted Answer

There is no self-service bulk export today; write to privacy@metropay.app and we will send you a copy. An owner can empty the workspace from Settings, Reset workspace data: customers, invoices, payments and the rest are removed after a twelve-hour cooling-off period during which it can be cancelled, and settings and team members stay.
