Invoice templates
Invoices that look like your business
Choose a layout, add your logo or a full letterhead, set the numbering your accountant expects, and add the fields your customers ask for. The PDF is built from the same page your customer sees.
The problem
A generic invoice looks like an afterthought
The invoice is often the last document a customer sees from you, and the one they forward to accounts. If it looks like a template with your name typed in, that is what your business looks like too. Branding it should not take a designer, and numbering should never need a spreadsheet.
Step by step
How it works, in three steps
Pick one of seven layouts
Classic, Modern, Minimal, Statement, Ledger, Split or Contemporary, chosen once for the workspace.
Add your brand
A square logo, or a horizontal letterhead that replaces your name on every document and public page.
Set numbering and fields
Your prefix and next number, and custom fields on customers, invoices and items.
Layouts
Seven templates, one source of truth
Each template is a real page, not a static file. The PDF, the invoice screen and the customer's page are rendered from the same source, so the amount on the PDF is the amount on the page, always. Your brand colour and accent apply across all seven.
- Classic, Modern, Minimal, Statement, Ledger, Split and Contemporary
- Curated colour presets or your own primary and accent colours, checked for readable contrast
- A paid stamp appears on the PDF once the invoice is settled
Brand
Logo, letterhead and your own domain
Upload a square logo for emails and pages, and a horizontal letterhead that stands in for your business name on documents. With a custom domain, the invoice and payment pages open on your hostname rather than ours.
- Logo in the email header and on every public page
- Letterhead wordmark in place of your typed business name
- Public pages on your own domain, optional per workspace
Numbering and fields
Numbering that never repeats, fields that fit your work
Set a prefix, the next number and how many digits to pad to. The next number is a floor, so a sequence can jump forward but can never issue a number twice. Custom fields of text, number, date or a list of choices attach to customers, invoices and items and print where they belong.
- Prefix, next number and zero padding, per document type
- Numbers are never reused, even after a deleted draft
- Custom fields on customers, invoices and items
In practice
A practical example
Northline Studio picks the Modern layout, uploads a letterhead so every invoice carries the studio's wordmark instead of typed text, and sets numbering to INV- with four digits starting at 1040. A custom field called "Project code" appears on every invoice, and INV-1042 goes out looking like it came from a studio, not a spreadsheet.
Northline Studio is a fictional business; none of these figures are real.
Outcomes
What you get
- Documents that carry your brand on screen, in email and on paper
- Seven layouts to choose from, all built from the same page
- Numbering that never repeats and needs no spreadsheet
- Custom fields for the details your customers require
- Public pages on your own domain when you want them
What it does not do
- It does not let you edit the template layout itself; you choose one of the seven and apply your brand
- It does not restart numbering each year; sequences only move forward
- It does not design a logo for you; upload the one you have
